A Case Study of Documentary Photography Without Disrupting Proceedings

At ALife 2025: Ciphers of Life, an international academic conference,
I served as an Official Partner, responsible for documentary photography.
My role was to capture the speakers and the overall atmosphere of the venue,
with the highest priority placed on not disrupting the flow of presentations or proceedings.

Event Overview

  • Event Name: ALife 2025: Ciphers of Life
  • Type: International Academic Conference
  • Format: Oral presentations, session-based program, and closing ceremony
  • Recording System: Fixed-point video recording operated by the organizers
  • Scope of Work: Documentary photography
  • Delivery: Digital image files

Note: The fixed-point video recordings set up by the organizers are publicly available on YouTube

Shooting Conditions and Constraints

As this conference prioritized academic presentations and program flow,
all photography was conducted with careful consideration of positioning and timing
so as not to interfere with the proceedings.

The Role of Photography in a Video-Recorded Environment

At this conference, the organizers implemented fixed-point video recording,
allowing the overall flow and structure of each session to be documented on video.

However, still photography was required separately for purposes such as:

  • Capturing the collective presence of speakers
  • Conveying the atmosphere of the venue
  • Producing still images suitable for reports and official records

In this context, I handled the photography with a clearly defined role separate from the video recording,
focusing on images intended for subsequent use and documentation.

Measures Taken During the Shoot

Selecting positions that did not interfere with presentations or proceedings
Maintaining appropriate distance while respecting the movement of speakers and attendees
Prioritizing compositions suitable for use as official conference records

Shooting Results

Below is an example of a group photograph taken as part of the official conference record.
The image was composed to clearly convey the scale and atmosphere of the conference.

Clear role separation between video and still photography
Availability of high-quality still images suitable for reports and web publication

Use and Publication of Work

  • Publication of this work as a portfolio example is handled upon prior consultation
  • Images are selected according to the agreed scope of publication

Conclusion

In environments such as international conferences and academic presentations,
where content and proceedings take priority,
the photographer’s positioning and decision-making directly affect the quality of the record.

Even in venues where live or recorded video is present,
combining video documentation with purpose-driven still photography
allows for deliverables that remain practical and effective long after the event.
